Your data belongs to you

When a healthcare organization engages LicensureHelp to credential or license a provider, we collect and retain certain professional information about that provider. This page explains what we collect, why we keep it, and what rights you have over that information.

The most important thing to understand upfront: your data is yours. LicensureHelp retains provider information for the purpose of delivering credentialing and licensure services, not on behalf of any agency, employer, or other third party. In the course of that work, and with your authorization, your information goes where the work requires: to the boards and institutions your applications are submitted to, and to the organization that engaged us. Beyond the work itself, no agency or employer can instruct us to delete, restrict, or transfer your records. Only you can.

You control your data
Only you can request deletion of your records. No agency or employer can make that request on your behalf.
Used only for credentialing
Your information is used solely to provide credentialing and licensure services. We never sell it or use it for any other purpose.
Take it with you
You can request a copy of your records in a readable format at any time, for your own use or to hand to another service.
On-premise storage
Your records live on infrastructure we own and operate. Outside services the work runs through, like email and e-signature, carry only what each task needs. Off-site backups are always encrypted before leaving our servers.

Information we hold about providers

LicensureHelp collects the professional information necessary to complete credentialing and licensing applications on your behalf. This typically includes:

  • Contact information — name, address, phone, email
  • Professional identifiers — NPI number, state license numbers, DEA registration
  • Employment history — positions held, dates, employers, gap explanations
  • Education and training — medical school, residency, fellowships
  • Board certifications — certifying body, certification number, dates
  • Malpractice history — as required for credentialing applications
  • Professional references — names and contact information
  • Identification documents — government-issued ID, as required for applications
  • Demographic information — only where required by specific credentialing applications

How your information is used

Your information is used exclusively to provide credentialing and licensure services. Specifically:

Completing applications — populating state licensing applications, hospital credentialing packets, DEA and CSR registrations, and related filings on your behalf.

Primary source verification — confirming your licenses, education, and employment history with issuing institutions.

License monitoring — tracking expiration dates and alerting you when a renewal is approaching, so you can act before a license lapses.

Future credentialing — retaining verified information so that future credentialing or licensing work, regardless of which agency engages us, can be completed more efficiently. This is consistent with how credentialing data infrastructure operates across the industry, similar to services like CAQH or FCVS. You benefit from not having to re-submit the same documentation every time you work with a new organization.

We do not use your information for recruiting, placement, marketing to you beyond direct service notifications, or any purpose outside credentialing and licensure services.

What you are entitled to

As a provider whose data is held by LicensureHelp, you have the following rights. These rights belong to you personally and cannot be waived or exercised by any agency, employer, or other third party on your behalf.

  • Right to know — you may request a summary of what information we hold about you at any time.
  • Right to correct — if any information we hold is inaccurate, you can request a correction. Accurate records are in everyone's interest.
  • Right to delete — you may request deletion of your records at any time. See the section below for how this works and the narrow record of already-performed work we retain.
  • Right to portability — you may request a copy of your records in a readable format (CSV) for your own use or to provide to another service.
  • Right to opt out of license monitoring — if you are enrolled in license monitoring by an agency, you may opt out of direct renewal notifications from LicensureHelp at any time by contacting us directly.

These rights belong solely to you as the provider and data subject. Receiving the product of an engagement is not control of your record: no agency, employer, or contracting party can instruct LicensureHelp to delete your records, restrict them, or move them anywhere beyond the work you authorized, without your express written consent given directly to us. Any provision in an employment or contractor agreement purporting to grant that authority has no effect on your rights under this policy.

How to request deletion of your records

You can request deletion of your records at any time by contacting us directly at the email address below. We will verify your identity before processing any deletion request.

Deletion requests must come directly from you, not from an agency, employer, or any third party. A request embedded in an employment agreement or made by a contracting organization does not constitute a valid deletion request under this policy.

If there is active credentialing work in progress or ongoing license monitoring on your behalf, we will notify you of the status and complete or close out any open engagements before processing deletion. This ensures no in-progress work is disrupted for you or the organization that engaged the service.

We will confirm receipt of your request within 5 business days and complete the deletion within 30 days of any active work being resolved. We will notify you when it is done.

What deletion covers, and what we keep. Deletion removes everything we hold for future use: your documents and uploaded files, identity records, contact details, profile information, and any monitoring or reminder enrollment. What we retain is a sealed record of the services we already performed: what we verified, when, on whose authorization, and the evidence of that work. We keep it for seven years after our last work for you, solely so we can stand behind work we have already delivered and meet our legal obligations. Sealed records are removed from every working system, are never used for any future service or contact, and are destroyed when the period ends. This is the same distinction your bank makes: closing your account deletes your relationship, not the ledger of transactions it already processed.

Note that deletion of your records means future credentialing or licensing work will require re-submission of documentation from scratch. We will make this clear before processing any deletion so you can make an informed decision.

Where your data goes outside our systems

Your information leaves our systems in three narrow circumstances:

Credentialing applications — completing an application on your behalf necessarily means submitting your information to the relevant licensing board, hospital, or institution. This is the core purpose of our service and what you or the contracting agency has engaged us to do.

The organization that engaged us — the agency or employer that engages credentialing work receives the product of that work: the completed application and status reporting on the engagement. They receive what the work requires, and no more.

E-signature — completed applications requiring your signature are delivered through a secure e-signature platform. Documents sent for signature include only the information necessary for that specific document.

We do not share your data with any other third party. We do not share provider records between client agencies. An agency cannot see information about providers credentialed for a different agency.

A straightforward commitment

LicensureHelp does not sell, license, or broker provider data to any third party. Your data is used solely to deliver credentialing and licensure services, whether engaged by you directly or by an organization on your behalf.

We are a credentialing services company. Our business model is providing a service, not monetizing the data we handle to provide it. This is not a technical distinction buried in fine print. It is how our business works.

We also do not engage in recruiting or placement. We have no commercial interest in which agencies or facilities you work with. Our interest is in completing your credentialing and licensing work accurately and efficiently.
